The challenge
After the Microsoft 365 rebuild, the firm still had processes Microsoft could not handle: case intake, per-file visibility for outside parties, invoicing tied to cases, e-signatures and portals for people with no company account.
What we built
One platform, four months
Intake, projects, document control, invoicing and e-signing were designed as one connected system on Google Apps Script: 91 server modules behind 29 interface pages.
Five external portals
Client, broker, investor, document-upload and e-signing portals, each authenticated by a one-time email code. No Google account is needed, and access can be revoked instantly.
Document control over Drive
A folder tree per case, 37 filing categories and per-file visibility set separately for client, broker, staff and investor, with admin approval before release. Files stream through the app behind a permission check, never as Drive links.
Finance & AI
Invoicing, e-signature capture, reminder chains, pass-through tracking, monthly statements and an approval-gated QuickBooks sync. Gemini triages the inbox, routes mail by department and drafts replies for approval.
Testing a system with no local runtime
Apps Script only runs on Google’s servers. We wrote 2,203 automated tests plus five verification tools that check the live system: comparing the real spreadsheet’s columns against the code and opening deployed pages to confirm they render.
The result
The platform runs in production with versioned deployment, scheduled jobs, backups, audit logging and role-based access, and all 16 staff use it every day.
